What are the most common mistakes in heavy haulage?
The most common mistakes in heavy haulage are: applying for the permit too late, reporting incorrect or incomplete cargo dimensions, failing to plan for BF3/BF4 escort, overlooking bridge loads and clearance heights along the route, underestimating load securing and – on international movements – failing to reserve ferry or terminal capacity in time. Almost all of these mistakes arise before the first kilometre is driven and can be avoided by a thorough feasibility study. Below are the typical pitfalls in detail.
Mistake 1: Applying for the permit too late
The most expensive mistake is also the most common. A permit under German road traffic regulations (StVO §29) is issued route-specific via VEMAGS and every road authority affected must be consulted. Two to four weeks are realistic for straightforward oversize transports; considerably longer for high weights requiring a bridge structural assessment. Anyone submitting the application shortly before the desired date inevitably pushes back the delivery date. Rule of thumb: permit lead time determines the final date more than driving time does.
Mistake 2: Incorrect or understated dimensions
Length, width, height, weight and the position of the centre of gravity must be exact – measured including lifting points and transport frame, not just the bare package. A height reported ten centimetres too low can render an already approved route worthless if a bridge or overhead line lies in the way. The approved route applies precisely to the stated dimensions; any deviation means a new application and a new lead time.
Mistake 3: Not planning for BF3/BF4 escort
Beyond certain dimensions the permit prescribes escort vehicles – BF3 for safeguarding, BF4 with traffic-directing authority, and police in addition for extreme dimensions. Anyone who does not factor the BF escort in from the outset risks not only fines but an immediate ban on continuing the journey. Escort vehicles and trained drivers are scarce and must be secured early.
Mistake 4: Overlooking bridge loads and bottlenecks
The motorway is rarely the problem – the first and last legs on secondary roads are. Bridge load classes, roundabouts, narrow village through-roads and the "last mile" over farm tracks decide feasibility. A heavy item in the three-digit tonne range can load bridges beyond the permissible axle load, so that detours or special structural assessments become necessary. These points belong in the route survey, not on the road.
Mistake 5: Underestimating load securing
Heavy cargo is not automatically "secured by its own weight". Positive locking, friction locking, lashing equipment and picking the load up only at defined points are decisive for sensitive machinery or coated components – incorrect edge pressure can cause six-figure damage. Load securing to VDI 2700 must suit the package and be documented.
Mistake 6: Not reserving ferry and terminal capacity
On international movements via the Middle Corridor or by RoRo, projects often fail not on the road but at the booking stage: ferry capacity for oversize packages is limited and must be reserved early. Anyone who plans permit and escort perfectly but forgets the Caspian ferry loses days. That is why we plan the entire chain in sync.
Mistake 7: No buffer for additional requirements from the authorities
Road authorities can demand additional conditions during the consultation procedure – a special bridge assessment, a modified route, a stronger escort. Anyone who plans no time buffer falls behind schedule with every such request. Realistic planning keeps reserve for exactly these queries.
Mistake 8: No single point of contact
When permit, escort, equipment and loading sit with different service providers, coordination falls through the cracks. One end-to-end project with a single project manager prevents conditions, deadlines and responsibilities from contradicting each other.
Mistake 9: Ignoring weather and time windows
Many permits allow the run only within certain time windows – frequently at night, outside rush hour and holiday travel periods – and prohibit it in ice, storms or heavy rain. Anyone who fails to reflect these conditions in the schedule risks the transport coming to a halt halfway, with expensive standing time for vehicle and escort. For wind-sensitive cargo such as rotor blades, a bad-weather reserve must be planned in addition. A realistic delivery window factors these windows in from the start instead of treating them as an incident.
